Hire and train exemplary program staff Ensure successful host family recruiting and program management Act as the liaison between the field staff and HQ Effectively, professionally and diplomatically communicate routine and non-routine events with field staff and HQ Review all documents and make sure they are client-ready, completed and submitted to HQ or the client in a timely fashion Manage 5 or more group programs and individual homestay programs GOAL 1:
Communication:
Continuously monitor and report the current status of the program to the primary program facilitators including field Staff and office Staff.
Contact field staff twice weekly by phone to keep them informed of program deadlines and other information and to receive new information regarding the status of host family recruiting Send daily updates and changes via email Respond as requested in a timely and professional fashion to all requests from Field Staff, Clients, Supervisors and Office Staff GOAL 2:
Hiring, Training and Supervising Staff:
Supervise and support each Homestay Program team throughout the preparation, planning and operation of the program.
Recruit and contract qualified Youth Program Coordinators (YPC) for each homestay program on or before the hiring deadline.
Conduct Effective Training of all YPCs including One on One training, Host Family Recruitment training and effective Operations training with all YPCs.
Hold coaching sessions with struggling YPC's.
To monitor Staff Progress, meet with staff weekly or more to motivate them to meet their program goals and deadlines, monitor host family recruitment and other program deadlines.
Identify and manage obstacles that may interfere with the success of the YPC.
Promote ownership.
For new YPCs - assist with host family and student orientations, airport arrivals and departures.
Goal 3:
Program Monitoring:
Track all program planning details.
Prepare and update the Program Information Form (PIF) that serves as a blueprint for program planning.
Track all program details, payroll, funds requests, tours, transportation, academic center selections, budget proposal, itineraries, transportation proposals and contracts in a timely fashion.
Maintain a thorough understanding of all groups under your management, especially host family recruiting goals.
Review and perfect final reports including funds reconciliation from YPC, staff, students and host families.
Submit client-ready documents to HQ.
Goal 4:
Build and maintain credibility of Compass USA Act as an ambassador by understanding and fostering Compass USA's mission and vision.
Submit exemplary itineraries, coversheets and host family matching forms to client/HQ on or prior to matching deadlines.
Submit and monitor all payroll requests as tasks are completed.
Communicate all concerns and needs of staff with supervisor.
Report all non-routine events and problems to supervisor - demonstrate and present problem prevention strategies.
Plan a course of action in concert with supervision for all non-routine events or problems.
Develop a clear understanding and respect of client needs and perspective.
Communicate professionally with clients.
